I would just like to thank the volunteers they did a great job of running items around and helping setup and break down the auction.

Thank You!!!!

I'll second that. Thank You We could never have pulled off another successful auction, Without all your help. A big thank you to all who came out and Bid on some great items also.

It was a great fun, thanks to all the people who organized and attended the auction.

I was surprised at how well organized it was. You guys did a great job of keeping track of who bid on what. The stickers were a great idea. Next year you should use the inventory program to help with cashing out. Poor Anthony had to use an adding machine. lol There must be several programmers on this forum who could help, myself included. All in all, it was a great auction. I had fun, and it was nice to spend the day with others in the hobby. Thanks to everyone who participated.

Disclosure: These are my own words and I do not speak on behalf of the rest of the BOD.

Barbara, thank you for mentioning the inventory program. I fully know and believe we can leverage this information/data. What you mentioned has been discussed and as usual this task would take planning in regards to road mapping which metrics would be the best to accomplish all these goals.

Two modifications have been made to the auction over the past two years. One is the labels and one is looking at the flow and bottle necks. I believe we addressed the picking of auction items this year to make that process move quicker and faster. Hopefully with the inception of the square card reader into the check out process that helped Anthony a little bit and made things easier on bidders/members. I assume when you say "adding machine" you were referring to the cash register. My/Our intentions are to have this information available in readable format for the picking area and check out area in the near future, time willing.

Of course you and everyone else knows this is a volunteer organization and something that the BOD does in its spare time between work and family. Of course we do our best with what we do have to work with, but it only makes operational sense to leverage the tools we have at hand. I hate to sound so business like, but these things take time to ingrain and document to make them a SOP (Standard Operating Procedure) of the club. What makes this even more difficult is that the BOD changes every twelve months.

Thank you for your insight and I know that I for one am always open to comments and feed back. How else can we ever improve without the willingness to change.

That was quite the answer. lol I was just so impressed with the way you had it organized on the computer with the item number, picture, bid amount and paddle number, I was just a little surprised that there wasn't a printout by paddle number at the time of checkout. It just seemed like a natural conclusion to everything you had already done so well.

As someone who does considerable volunteer work, I can appreciate the extra burden this club places on the personal time of the BOD members. You have my thanks for a job well done, and if you need help with the inventory program for the auction next year, I would be happy to lend a hand.

Why thank you from all of us... Flattery will get you everywhere (kidding).

Believe it or not, that is already built in, but I have not had time to work out the flow.

I would love nothing more than to have (3) laptops set up with printers at each station.

You would go see Anthony and he prints our your corals and dry goods, you pay through the swipe/square or cash/register, Anthony stamps your invoice paid.

The pick/pack group and pick and pack the order based upon that slip or pre-pack based on your paddle to group things together.

This would all be connected wireless and the other two stations would only have read ability.

It may take one or two more auctions, but we will eventually get there. Remember as with any business it takes buy in of the stakeholders.

Process, procedure and documentation for those who take over for in the future.

Again, thank you for the offer and input.

There you go. Fine tune the process, and you'll have all the other reef clubs jealous. Of course, I don't know what other reef clubs have auctions, but there's always some organization in the community that's holding one. You could be famous. lol Thanks again for all you do for the club. :)
